Personal Assistant/ Secretary
Experience:
should have 2 years of  experience as an assistant or management admin.
Education:
Any graduate will be prefer.
Location:
Santej Ahmedabad

 

Job Responsibilities:

  • Acting as a first point of contact.
  • Dealing with correspondence and phone calls.
  • Managing diaries and organizing meetings and appointments.
  • Often controlling access to the manager/executive.
  • Organizing events and conferences.
  • Reminding the manager/executive of important tasks and deadlines.
  • Managing company’s common email address & ensuring the communication of emails to
    concerned persons.
  • Sending receipt acknowledgements & reminders on instruction of executive from common email address.
  • Preparing & maintaining the minutes of meetings.
  • Preparation of email drafts for various day to day matters like corporate introduction, demanding outstanding dues etc.
  • Scheduling meetings with executive or outside member & ensuring that no meetings with carried out without specific agenda.
  • Preparing or formatting or summarizing of reports.
  • Making Travel arrangements for Executive, Member/client.
  • Excellent Problem solving skills.
  • Ready for working in long working hours.
  • Ready for constant travelling with Director Sir.
  • Daily maintaining CMD sir schedules and gives him timely reminders.
  • Work in the corporate framework of the company as directed by the CMD sir.
  • Support CMD sir and top management in preparation of documents required for key decision making.
  • Drafting Emails, letters on behalf of CMD sir and maintaining the records for the same. Communications on behalf of the CMD sir.
  • Maintain timeline for all letters from drafting to sending to outer departments and give timely update to CMD sir.
